From quote to payment
For work a customer approves before you start, a quote carries the job from the first price to the invoice without retyping anything.
Navigate to: Sidebar โ Quotes โ New quote
If you don't see Quotes in the sidebar, switch it on in Settings โ Components.
Building a quote
- Choose the Customer, or type a name. The quote is emailed to the customer's address.
- Set Valid Until, and add a Phone and Customer PO # if you have them
- Tick Require a drawn signature to accept if you need one
- Add Line Items from your catalogue, or type your own, with quantity and price
- Add any Tax (amount) and Discount
- Under Terms & Notes, add your Payment terms (they carry over to the invoice) and any notes
- Press Create quote. It's saved as a draft, numbered from Q-0001.
Sending it
Open the quote and press Send to customer. The customer gets an email with a link to the quote. Use Re-send if they need it again, Print / PDF for a copy, and the copy button to share the link yourself.
You can edit a quote while it's a draft or waiting for the customer. Drafts can be deleted.
What the customer does
The link opens the quote on any device. To accept, they type their full name, add their own PO number if they use one, and sign if you asked for a signature. Wemu records their name, the time and their IP address as agreement to the quote and its terms.
They can also decline, with an optional reason. Once Valid Until has passed, the quote shows as expired and can't be accepted.
After it's accepted
- The quote moves to Won, with who accepted it and when
- Wemu creates the invoice straight away and emails it to the customer, if they have an email address
- When the invoice is paid, Wemu drafts purchase orders to the suppliers of the products on it. See Purchase orders & suppliers.
If no invoice was created, the quote shows Create & send invoice.
The pipeline
The Quotes page has a Pipeline view with four columns, each with its count and total: Draft, Awaiting customer, Won and Lost. The List view shows every quote, with a filter by status.
Above them:
- Open pipeline: the value of drafts and quotes waiting on the customer
- Won this month, with the total won all time
- Win rate: won against won plus lost
- Average quote
A quote's page shows when it was created, sent, viewed, and accepted or declined.
Tip: Quotes and invoices use the same catalogue, so a price you change in Products is used by every new quote.
